PATIENTS PARTICIPATION GROUP
TERMS OF REFERENCE
Role of the Group
The group’s (PPG) main purpose is to assist the practice in providing first class services and facilities for the benefit of the patients.
The PPG will develop a positive and constructive relationship between the patients, the Practice and the community it serves, ensuring the practice remains responsive to all its patient’s needs.
The PPG will be a critical friend to the Rowan Tree Surgery.
It will undertake activities, which at all times is in the best interests of the Practice as a whole. The PPG will recognise the constraints of the Practice in both terms of resources and legislation and work within these to achieve the following:
- Create and improve two-way communication between the patients, the practice and the community it serves.
- To bring a sense of partnership between Practice and patients, but be able to constructively challenge the practice whenever necessary.
- Provide an avenue for patients’ input in the way facilities and services are planned and executed and, where appropriate, influence those services.
- Provide constructive two-way feedback on patient and community needs, concerns and interests.
- Support the practice in good health promotion, preventative medicine and health literacy.
- Collect patient opinions and experiences to help the practice to evaluate its services.
- Communicate to the practice community and/or the wider community information about the practice.
Membership of the Group
All registered patients are welcome to join the PPG although in the interests of effective decision making committee membership will be limited to twelve. The PPG will also recruit patients to form a Virtual Group. Members of the group will be sent emails from time to time asking their opinion on a range of subjects.
We will attempt to make both groups as diverse as possible so as to achieve the best possible outcome for the patients and practice.
The Decision Making Process
The group will endeavor to be truly representative by involving patients from all sections of the community where possible
It will ensure that it works positively and constructively with the Practice to make recommendations and support changes where necessary and feedback information to the practice/local community on decisions made.
The quorum for any meeting is to be 4 of its members including the Chair and members of the Practice team.
Meeting Arrangements
The PPG will meet every 2 months unless there is a need for more frequent meetings.
An agenda will be published.
At the meetings
- Open & honest communication will be encouraged.
- The group will be flexible, listen, ask for help and support each other.
- The group will demonstrate a commitment to delivering results.
- Everyone’s contribution and views are valid and will be listened to.
- Members will not use the meetings as a forum for individual complaints or issues, although constructive personal insight will be welcomed.
- Minutes/action points will be recorded and published on the Practice website.
PPG Members Roles & Responsibilities
Membership of the PPG is voluntary,
Members are asked to attend meetings as frequently as possible.
The PPG will appoint a Chairperson and Minute Taker.
Members are recognized as having personal skills, interests, knowledge and experience to bring to the group.
Confidentiality has to be respected.
